TERMS OF REFERNCE:

PLAYHOUSE ADMINISTRATIVE ASSISTANT

 

Description:The PAA is responsible for the general day to day running of the Playhouse in the absence of a playhouse manager. Responsibilities Include but are not restricted to:

 

1. Managing the phones

 

2. Managing bookings

 

3. Managing ticket sales

 

4. Managing Applications for:-

 

 

 

 

 

 

5. Reports on

 

 

 

 

 

 

 

 

 

6. Qualifications:

 

 

 

 

 

 

 

 

Education: Completed High school Education or higher .

 

Hours of work: Monday to Fridays – 10am to 2pm

  • Saturdays : 10am to 12 Noon

  • Sundays : As needed

 

Flex time:

It must be noted that this position will from time to time require the PAA  to work in the evenings especially when there is a production or event on. As such the flex time framework is in play during such times. This means that the PAA may reclaim this time in increments during the following day or days as is agreed upon with the Executive Management Committee.

 

Lunch: Lunch is one hour.

 

Leave: Leave is applicable after 1 year at 2 weeks mutually agreed upon by the Executive Management Committee of the Guild.

 

Reporting Mechanism: Weekly written reports in attached format of weeks activities. Monthly comprehensive reports on all aspects of the Guilds management.

 

Remuneration : A  starting stipend of G$45,000 a month will be paid. This amount is not taxable since it is not a salary. As such any NIS and other obligations are to be met by the employee.

 

Administration: PAA receives instructions directly from the EMC of which the chair is the head and Vice Chair the Deputy head. PAA will from time to time receive instructions on the following areas from special committee chairs as follows:

  • Building and Ground Development – Malcolm Defreitas

  • Business Development and Marketing – Paloma Mohamed

  • Archives – Enrico Woolford

  • Production – Ron Robinson

  • Technical – Norman Dos Ramos

  • Finance – Patrica Liverpool

  • Training – Desiree Whyles Ogle

  • Excellent Verbal and Written Skills

  • Excellent Communication Skills and People Management Skills

  • Experience Working unsupervised

  • Experience working in the Theatre

  • Computer literate in at least Excel and Word

  • Finances and all other matters

  • Supervision of staff employed at the Theatre Guild

  • Managing arrangements for rehearsals and for performances

  • Collecting Monies and Issuing receipts

  • Basic Marketing and PR Functions

  • Answering and Routing Mail both email and snail mail

  • Memberships

  • Workshops

  • Rentals

  • Special Programmes
